Kathryn Stanford Consulting Pte Ltd UEN 2020070 (“we”, “our”, “us”) understand that you are concerned about your privacy, along with the confidentiality and security of any personal information that you provide to us. We consider your privacy to be of crucial importance and approach our protection of it with the utmost seriousness.

This privacy policy (Policy) sets out how we collect, hold, use and disclose information about individuals who engage or interact with us. We treat all personal information collected by us in accordance with the Privacy Act 1988 (Cth) (as amended and supplemented) (Privacy Act), the Australian Privacy Principles contained within the Privacy Act, this Policy, the Personal Data Protection Act 2012 (Sg) and any other applicable law.

2. Collecting your information‍

We need to collect personal information to assist us with providing appropriate assistance to our clients with throughout the Department of Veterans Affairs (DVA) and Defence Force Ombudsman (DFO) claims processes (Support).

2.1 Personal information‍

Personal information collected by us typically includes:

  • full name;
  • contact details such as mobile number, telephone
  • number and email address;
  • gender;
  • physical or residential address;
  • qualifications and education;
  • occupation and employer; and
  • health information, including any illness, disability or injury you may have suffered.

We collect this information in person, or through other interactions we may have including by telephone, email, ordinary mail or any other electronic or online means, including via our website.

2.2 Sensitive information

We may also collect information which is considered ‘sensitive information’, being:

  • racial or ethnic origin;
  • physical and mental medical history (including medical reports, assessments and reports relating to an event of trauma)

  • criminal record.

We treat all sensitive information with the highest duty of professional care, and such information will not be disclosed in a personally identifiable way to non-associated entities without your express consent (excluding in connection with the submission of your claim to the DVA or DFO).

3. Use of personal information‍

We will only use personal and sensitive information (hereafter referred to as ‘personal information’) for the purpose of providing Support, and other internal administration purposes such as:

  • maintaining our relationships with those that we provide Support to;
  • administering, managing and delivering the Support;
  • improving our provision of Support;
  • our own internal research and statistical purposes;
  • passing on information (to you) about products and/or services that we believe may be of interest and/or benefit to you; and
  • quality assurance and insurance purposes.

When using your personal information for the purposes contemplated above, we use our best endeavors to anonymize that information such that any personally identifiable information is removed unless necessary.

4. Disclosure of personal information

  • we reasonably believe that disclosing your information is necessary to prevent serious harm to you or someone close to you.

5. Protecting your personal information

5.1 Steps we take‍

We take industry leading steps to protect personal information we hold from:

  • misuse, interference and loss; and
  • unauthorised access, modification or disclosure.

The precautionary steps we take to protect personal information include:

  • adopting measures to protect our computer systems and networks for storing, processing and transmitting personal information;
  • adoption of procedural and personnel measures for limiting access to personal information by our staff;
  • reviewing our information collection, storage and processing practices; and
  • such other security measures we consider reasonable and appropriate from time to time.

Notwithstanding that we use our best endeavours to protect all personal information we collect and hold, please be aware that we unfortunately cannot guarantee its complete security and will not be responsible where it is obtained by illegal third-party actions.

5.2 Deleting your personal information

When your personal information is no longer required to be kept by us, we will take reasonable steps to destroy or delete your personal information in a confidential manner.

6. Cookies

We use “cookies” to collect information. Cookies are files with small amounts of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your computer’s hard drive.

7. Web beacons

Web beacons (also known as clear gifs, pixel tags or web bugs) are tiny graphics with a unique identifier, similar in function to cookies, and are used to track the online movements of web users or to access cookies.

Unlike cookies which are stored on the user’s computer hard drive, web beacons are embedded invisibly on web pages (or in e-mail).

Web beacons may be used to deliver or communicate with cookies, to count users who have visited certain pages and to understand usage patterns.

Like many sites, we use web beacons to collect information which is done in accordance with this policy.

8. Overseas disclosure

8.1 Third party software

We use tools within Google Workspace and the Way We Do platform in the provision of our Support. Google’s privacy policy is here and Way We Do’s policy is here.

8.2 Disclosure for analytics

We may use Google Analytics to track your usage of our websites. Google Analytics is a web analysis service provided by Google. Google utilises the data collected to track and examine the use of the Site, to prepare reports on the Site’s activities and share them with other Google services.

Google may use the data collected to contextualise and personalise the ads of its own advertising network. Personal data collected by Google includes cookie and usage data, which is processed in the USA. You can find Google’s privacy policy here:

8.3 Consent to overseas disclosure

Other than as contemplated in this clause 8, we will only disclose your personal information to a third party overseas recipient if:

  • you expressly consent to the transfer; or
  • the disclosure of the information is required or authorised by or under an Australian law, other applicable law or a court/tribunal order.

We will take reasonable steps to ensure such third-party overseas recipients do not breach the Australian Privacy Principles (APP’s) or are subject to laws or a scheme substantially similar to the APP’s.

9. Third parties‍

We may, whether on our website or in connection with our Support, provide links to third party sites that are not operated by us. If you click on a third-party link, you will be directed to that third party’s site. We strongly advise you to review the privacy policy of every site you visit.

We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party sites, products or services whatsoever. You should be aware that your ability to opt-out of a third-party tool or platform will depend on the conditions governing your agreement with that third party.

10. Accessing and updating your personal information

10.1 Access to Personal Information

We will provide you with access to your personal information held by us unless:

  • giving access would be unlawful; or
  • denying access is required under the Privacy Act or any other applicable law.

10.2 Amending, Accessing or Deleting your personal information

If you would like to access or amend or delete your personal information you must contact us via email at info@kscdva.org setting out your request. Following receipt of your written request, we will contact you to:

  • confirm the correction or deletion has been made;
  • provide you with the information you have sought; or
  • provide you with an explanation as to why we will not:
    • correct your information;
    • delete your information; and/or
    • provide you with the information you have requested.

If you are unsatisfied with our response, you may make a complaint as set out in clause 12.

11. International users‍

If you are located outside of Australia and choose to provide your personal information to us, your personal information will be processed in accordance with this Policy.

12. Breaches and Complaints‍

We strive to ensure our compliance with this Policy and to regularly review our practices to ensure they are compliant with our legal obligations.

However, it is not impossible for information to become lost, stolen or subjected to unauthorised access or disclosure. We will notify you if a data breach occurs which is likely to result in serious harm (Breach) and we will provide you with recommendations about the steps you should take in response to that Breach.

If at any time you are not satisfied with our practices or our Policy, you can contact us at info@kscdva.org. All complaints made will be dealt with in confidence. We endeavour to respond with a resolution or proposed resolution to the issue raised within 30 days of receiving the complaint in question.

If you are dissatisfied with our response to your compliant you may make a further complaint to the Office of the Australian Information Commissioner about the handling of your personal information. We reserve the right to vary this Policy from time to time to ensure that we remain up to date with market expectations, the law and technological advances. Any variations made will be updated on our websites. It is your responsibility to check our Policy periodically to ensure you are aware of any changes made to it.
